We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the President/CEO and the broader team. This role is essential in ensuring efficiency and professionalism across the organization, requiring a detail-oriented individual adept at multitasking in a dynamic environment.
Key Responsibilities
- Manage daily schedules, coordinate appointments, and organize meetings to maximize time efficiency.
- Prepare, review, and manage correspondence, reports, presentations, and other deliverables with precision.
- Handle travel arrangements, including bookings, itineraries, and expense reporting.
- Provide event planning support, including organizing staff gatherings, strategic planning sessions, and catered meetings.
- Serve as a key point of contact for internal and external communications, ensuring timely and effective interactions.
- Assist with office operations, such as answering phones, inventory management, conference room arrangements, and maintaining a professional workspace.
- Welcome and direct visitors, clients, and candidates, ensuring a positive experience.
- Take ownership of special projects, tracking deadlines, gathering data, and providing updates.
- Participate in meetings by organizing, documenting, and distributing key information.
- Support the office with general administrative tasks, maintaining organization and workflow.
Qualifications
- Proven experience as an Executive Assistant or similar role supporting senior executives for at least five years.
- Exceptional organizational and time management skills, with a proven ability to multitask.
- Superior oral and written communication skills, with a strong focus on client service.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, PowerPoint, and Outlook.
- Discretion and professionalism in handling confidential information.
- High school diploma or GED required; higher education or college coursework preferred.
- Strong interpersonal skills with the ability to exercise independent judgment and initiative.
- Ability and experience in a fast-paced environment
- Experience in putting presentation materials together.
Work Environment
This position requires regular onsite working hours, preferably from 7:30 AM to 5:00 PM. The role offers the opportunity to work closely with leadership and contribute significantly to the organization's success.
